If You Are Not Tracking This, You Are Running Your Business Blind
Most tree surgery business owners work hard, stay busy, and have a rough sense of whether things are going well or not. That rough sense is not enough. The businesses that actually grow are the ones where the owner can sit down at the end of the week and point to specific numbers that tell them exactly what is working, what is not, and where the money is going.
The two numbers that matter most
The first is your enquiry-to-quote-booked rate. Of all the people who contact you asking about tree work, what percentage actually book a visit? If this number is below 70 percent, you are losing leads before they even get to see you. That is usually a follow-up speed problem. People who enquire and do not hear back quickly enough find someone else. They are not loyal to you. They want the work done, and they will book whoever calls them back first.
The first five minutes after an enquiry comes in are more valuable than the next five days combined. Every minute you leave it, the likelihood of that person becoming your customer drops significantly.
The second number is your quote-to-win rate. Of all the quote visits you do, what percentage turn into actual jobs? This tells you whether your quoting process is working. If your enquiry-to-quote rate is strong but your win rate is poor, the process is the problem, not the volume of leads.
What to track and how
You do not need complex software to do this. A simple spreadsheet with these columns is enough to start: date of enquiry, source of enquiry, quote booked yes or no, job won yes or no, job value. That is it.
Once you have a few weeks of data in there, you can see exactly which lead sources are producing genuine paying customers and which are producing tyre kickers. You can see your win rate per enquiry source. You can see whether a particular advertising platform is actually making you money or just making you busy.
Return on ad spend is the number that should drive every advertising decision
If you are spending money on advertising of any kind, you need to know your return on ad spend. Total revenue generated divided by total spent. A well-run paid advertising campaign for a tree surgery business should be producing a return above ten to one. If it is not, either the campaign is wrong, the follow-up is wrong, or the quoting process is losing jobs that the advertising is winning.
One of the businesses I work with spent £1,000 on Meta ads and generated £34,000 in booked work from it. That is a 34-to-1 return. That kind of result does not happen by accident. It happens because the advertising, the follow-up, the quoting, and the tracking are all working together as a system.
The honest reality
Most tree surgery businesses are not tracking any of this. Which means they are making decisions based on gut feel, repeating mistakes they do not know they are making, and leaving significant money on the table every single month.
Fixing the tracking is not the exciting part of growing a business. But it is the part that makes everything else work properly.
